Catalogue and price lists

The catalogue is what the system assembles a product from and what it counts money by. As long as it holds no item with a price, a calculation will not go through: the engine has nothing to put into the specification.

Everything lives in the «Справочники» section, split into tabs.

Материалы is the bottom layer: «Артикул», «Название», «Тип», «Единица измерения». There are five types: «Профиль», «Армирование», «Штапик», «Уплотнитель», «Прочее». The first three are cut from stock bars — for them the system requires «Длина хлыста, мм» and the unit «м.п.», otherwise it will not save the item. The remaining units are мм, м², шт, кг.

Профильные системы is a set: which role (frame, sash, mullion, glazing bead, reinforcement, connectors, threshold and the rest) is covered by which material and with which norm factor. The composition is entered from a file: one price-list row = one role. A system without the mandatory roles is marked «Неполная» with the caption «Не хватает: …», and calculation with it is blocked. Right in the list, only «Наценка», «Надбавка за хлыст» and «Длины, которые режет завод» can be edited.

What the platform gives you, and what you enter yourself#

Every reference book has an «Источник» column (for materials — «Системность»): «Системная» or «Своя». System records come from the platform's shared catalogue, are identical for every company and cannot be edited — «Системный материал нельзя изменить или удалить». Three actions with them are still available: «Цена» — set your own price on top of the system one, «Скопировать» — «Создать собственную редактируемую копию», «Скрыть» — remove it from your catalogue.

When the platform has updated the shared catalogue, a bar «Доступно обновление системного каталога» appears above the materials list, and the «Обновить системные материалы» button gives a summary: «Новых», «Цены обновлены», «Конфликтов цен», «Снято с производства». A conflict is an item where you set your own price and the system price has changed since: the system does not decide for you, it asks — «Применить системную цену» or «Скрыть». Your price is never overwritten by itself.

Material price: tiers and colour#

The price is set not as one figure, but by price groups — tiers. There are five: «Белый» (the base price), «Цветной (ламинация двусторонняя)», «Комбинированная (ламинация односторонняя)», «Мебельный (ламинация под дерево)» and «Вакуумная ламинация».

The tier is chosen not in the product, but in the colour: a «Цвета» record has a «Тариф (ценовая группа)» field. Choose a colour in a calculation, and the engine takes the profile price by that colour's tier.

Besides the tier, a colour has a «Надбавка, за м²» — a flat surcharge for area. The caption under the tier field says it outright: «По тарифу берётся цена профиля из прайса — на неё надбавка за м² не влияет».

Materials that get cut are priced per stock bar, not per metre. Opening a profile's price, you will see the field «Цена за хлыст 6000 мм» and the hint: «Завод называет цену за хлыст — её и вводите». There is no need to convert into metres by hand.

How to add an item#

By hand — with the «+ Материал», «+ Стеклопакет», «+ Фурнитура», «+ Набор», «+ Цвет», «+ Аксессуар», «+ Панель» button in your own tab; the price is set separately, with the «Цена» button in the row. A profile system cannot be added this way.

From a file — the «Импорт прайса →» tab:

   Choose «Тип продукта»
        ↓
   «Скачать шаблон»  →  fill it in with the supplier's data
        ↓
   Upload the file (.csv or .xlsx, up to 5 MB)
        ↓
   «Проверить»  — a preview, NOTHING is written to the catalogue
        ↓
   «Применить»  — the changes reach the catalogue

There are six product types: «Профильные системы», «Стеклопакеты», «Фурнитура», «Комплектующие и расходники», «Цвета», «Сэндвич-панели». The check gives a summary — «Всего строк», «Создано», «Обновлено», «Без изменений», «Ошибок» — and row-by-row lists of what will be created and what will be updated.

• The template header must not be changed — the columns are identified by it. Save CSV in UTF-8; no more than ten thousand data rows.
• The price-list currency column is filled in in every row, the file holds one currency for the whole file, and no conversion by exchange rate happens during import: the file must already be in your company's currency.
• The import writes only your company's records and breeds no duplicates: a familiar row is updated.
• A column that is absent from the file is not touched by the import — while an empty cell in a column that is present clears some fields. If you do not need to touch a field, remove the whole column, not the contents of its cells.

The price changed — what happens to old calculations#

Nothing. Every completed calculation keeps a snapshot: the prices of all materials at the moment of calculation, the markup formula, the factors. Editing the price list does not act on what has already been calculated — the price quoted to a customer yesterday must not change by itself. New prices reach new calculations only.

An order can be recalculated against the fresh catalogue by hand: the order card has the «Пересчитать заказ» button — «актуально после правки каталога (профили/цены/нормы)».

Withdrawal from sale is just as careful: the item «исчезнет из конструктора и новых КП, старые расчёты не тронутся». For an insulating glass unit this is the «Продаётся» column, for a system material — the «Снят» mark with the caption «Снят с производства — нельзя выбрать заново в новом расчёте».

A profile system is withdrawn from sale as well — but not by you, by WinSum: for system profile systems the «Активна» (active) flag is switched off by WinSum when the factory stops production. In the configurator such a system disappears, new calculations are not started on it, and the items already calculated on it get the warning «Система снята с продажи — цены могли устареть». The items themselves and their prices are left untouched — the warning means that those prices are no longer being updated.

Typical pitfalls#

Two items with the same article number. After «Скопировать», change the article number of the copy: the copy gets the name "… (копия)" and the same article number. If both are left with the same article number, only one of them is used in the calculation.

Your own item takes priority over a system one with the same article number. To replace a system record, create your own item with the same article number; delete unneeded copies, otherwise they keep the priority even after the system catalogue is updated.

An item with no price. The calculation will not go through and will name the article numbers that have no price. In the materials list such an item is visible at once — its "Цена" column is empty.

A price in the wrong tier. The quietest defect of all: the price is there, the calculation goes through, but a coloured product is priced by the white price list. If you see the icon with the hint «У материала заведено несколько тарифов по цветам — показана цена того, что задан последним», check the tier explicitly.

What the system does not have#

• There is no planned date for a price to take effect. A price applies from the moment it is saved; a price list cannot be entered in advance "from the first of the month". There is no bulk price editing from the interface either — either item by item, or from a file.
• A profile system's composition is not assembled by hand — only from a file.
• Withdrawal from sale by your own hand is available for an insulating glass unit. For the other reference books you have no such switch: an unwanted item of your own is deleted, a system one is hidden. A profile system is withdrawn from sale by WinSum, when the factory stops production.
• There is no one-button rollback of an import. That is why «Проверить» is a mandatory step, not a formality.
• Price groups of your own cannot be created: the five tiers are a fixed list.
• There are no discounts in the catalogue. The catalogue keeps the purchase price, not the price for the customer; a discount lives at the level of the quotation — the Discounts page covers that.

Who is allowed to do what#

The «Импорт прайса →» tab is not shown to those who have no access to it. If it is missing and you need to work with price lists, contact the account owner.
